1. Overview
This policy sets out the Know-Your-Customer (KYC) and Vendor Due Diligence (VDD) process VeviGoo runs before allowing sellers, restaurants, riders, drivers, couriers and investors to operate on the platform. It exists to comply with Ghanaian anti-money-laundering law, the requirements of our payment providers (including Paystack), and the guidelines of the Apple App Store and Google Play Store. Ongoing monitoring continues for the lifetime of every VeviGoo account.
2. Who Must Complete KYC
KYC is required for every non-customer account on VeviGoo — that is, anyone who receives money through the platform:
- Sellers, restaurants and service vendors listing on the marketplace
- Riders (Okada / motorcycle) receiving fare payouts
- Drivers (car and courier) receiving fare or delivery payouts
- Investors funding motorcycles, cars or storefronts
- Any admin, partner or enterprise account with access to payouts or platform data
3. Individual KYC (Sellers, Riders, Drivers, Couriers, Investors)
Individual applicants provide the following:
- Full legal name as shown on official ID
- Date of birth (applicants must be at least 18 years old)
- Nationality and country of residence
- Ghanaian residential address with proof of address (utility bill or bank statement no older than 3 months)
- Government-issued photo ID — Ghana Card, passport or driver's licence
- A clear front-facing selfie captured live in-app for facial-match against the ID
- Mobile phone number verified via SMS OTP
- Email address verified via a confirmation link
- Bank account or mobile-money wallet in the applicant's legal name (for payouts)
4. Business KYC (Registered Sellers, Enterprise Vendors, Corporate Investors)
Businesses submit, in addition to the individual KYC of the primary account holder:
- Legal business name
- Business Registration Certificate from the Registrar-General's Department
- Certificate of Incorporation (for limited companies) and Form 3 / Form A (or equivalent) showing directors and shareholders
- Taxpayer Identification Number (TIN)
- GRA tax clearance certificate where the category or transaction volume requires it
- Business address with proof of premises (photograph of storefront, utility bill or tenancy agreement)
- Category-specific licences where applicable (FDA Ghana for food, Pharmacy Council for pharmaceuticals, etc.)
- Bank account or mobile-money wallet in the registered business name (for payouts)
- One or more storefront / business photographs for authenticity checks
5. Enhanced Due Diligence (EDD)
In addition to standard KYC, VeviGoo runs Enhanced Due Diligence on higher-risk vendors and transactions. Triggers include but are not limited to:
- High-value categories (electronics, jewellery, precious metals, high-ticket fashion)
- Regulated categories (alcohol, tobacco, pharmaceuticals, licensed financial products)
- Vendors with unusually high transaction volumes relative to their category or history
- Vendors whose payout account, business address or director details do not match public records
- Vendors flagged by public sanctions or PEP (Politically Exposed Person) lists
- Vendors that trigger our automated fraud-detection systems
6. What EDD Involves
EDD is manual, performed by our Vendor Verification team, and typically includes:
- Direct verification with the Registrar-General's Department, Ghana Revenue Authority or category regulator
- Written confirmation of ownership, source of funds and category licences
- Additional identity documents for beneficial owners holding 25% or more of the business
- Face-to-face or video meeting with the primary account holder
- On-site visit to the storefront or workshop where warranted
- Screening against sanctions, PEP and adverse-media watchlists
- Approval by a senior compliance officer before the account can be activated
7. Manual Review Before Activation
Every seller and investor account undergoes manual review before it can go live. Standard reviews take 2–5 business days; EDD-triggered reviews take up to 15 business days. Applicants may be asked for additional information at any point during the review. VeviGoo may refuse any application without providing a detailed reason where doing so would compromise our fraud-detection or regulatory obligations.
8. Ongoing Transaction Monitoring
After activation, VeviGoo continuously monitors accounts for signs of fraud, money-laundering or policy violations. Monitoring signals include:
- Sudden spikes in transaction value, count or refund rate
- Payout accounts that change frequently or that don't match the business name
- Unusual customer complaint patterns
- Suspicious traffic patterns (bot-like signups, high-velocity same-day orders, coordinated referral rings)
- Category-specific red flags (e.g. tobacco listings appearing on a general grocery storefront)
- Third-party alerts from payment providers, banks or regulators
9. KYC Refresh
VeviGoo may ask any account holder to refresh their KYC at any time — typically annually, or whenever a business detail changes, or after any transaction that triggers automated monitoring. Refresh requests must be completed within 14 days; failure to do so results in the account being suspended until the refresh is complete.
10. Suspension for KYC Failure
Accounts may be suspended or permanently removed for: submitting false, forged or misleading KYC documents; failing to respond to a KYC refresh within 14 days; being placed on a sanctions, PEP or adverse-media list; being reported by a payment provider or regulator; or engaging in fraud, money-laundering or any activity prohibited by the Acceptable Use Policy.
11. Handling of KYC Data
KYC data is stored in encrypted form, accessible only to a small number of named compliance and engineering staff using multi-factor authentication. KYC data is used only for verification, fraud detection, regulator or law-enforcement response, and platform safety. KYC data is retained for the lifetime of the account and for a further 5 years after account closure to comply with anti-money-laundering and tax record-keeping requirements.
